1. Who is responsible for your information?

Vesta Consultancy Ltd operates this UK website and is responsible for the personal information described in this notice.

2. Information collected

When you request a quote, the form asks for your name, email address, collection and delivery locations, preferred moving date, and a description of your belongings and access requirements. A preferred date is optional. You may also provide information when contacting us by email or telephone.

Website hosting and security services receive technical information such as your IP address, requested page, browser information and request time. Please do not include passport details, payment-card information or sensitive personal information in the enquiry form. If documents are needed for a booked move, ask us how to provide them securely.

3. Why information is used

• Responding to your enquiry and preparing a quote: taking steps at your request before entering into a contract, where you are the prospective customer. Where you act for someone else, our legitimate interest is assessing and responding to that enquiry.
• Arranging and carrying out a booked move: performing the agreed contract.
• Business-contact communications, protecting the website, preventing misuse and handling disputes: legitimate interests in responding to enquiries and operating a secure business, subject to your rights.
• Records required by law: meeting applicable legal obligations, where these apply.

Submitting an enquiry does not sign you up for marketing. The website form does not take payment or automatically accept a booking.

4. Who receives information?

The enquiry form sends your submission to FormSubmit, which processes the form and emails it to the site's enquiry mailbox. FormSubmit may present an anti-spam verification step. See FormSubmit's privacy information. You can use the email or telephone contact on the homepage instead of the form.

The site is hosted through ChatGPT Sites, with Cloudflare providing delivery and security infrastructure. The page also requests fonts from Google Fonts; those requests disclose technical connection information to Google. Our email provider handles enquiry emails.

For a booked move, relevant contact details, addresses, inventory and access information may be shared with the driver, a transport partner, and customs or professional advisers where necessary to arrange the service or meet legal requirements. We do not sell enquiry information or use it for unrelated advertising.

5. Where information is processed

Vesta Consultancy Ltd is based in the United Kingdom. Hosting, form, email and transport services may involve processing information outside the UK, including in countries on your moving route. 6. How long information is kept

Retention policy: enquiries that do not become bookings are deleted or anonymised 12 months after the last meaningful contact. Booking, payment and core correspondence records are normally kept for six years after completion, or longer where a specific legal obligation or unresolved claim requires it. Customs and identity documents are held separately and removed as soon as their operational purpose and any applicable legal requirement have ended.

Only records relevant to an ongoing claim or legal requirement are retained beyond their normal period. Backup copies expire through the provider's normal deletion cycle.

7. Cookies and similar technologies

The current page code does not add advertising or analytics trackers. Hosting and security providers may use technical cookies and browser checks to protect the service. The third-party form service may use cookies or anti-spam tools when you submit an enquiry. External fonts also create requests to Google. You can manage cookies through your browser settings; blocking security functions may affect the form.

8. Your rights

Depending on the circumstances and applicable law, you can request access to your information, correction, erasure, restriction of processing or data portability. You can object to processing based on legitimate interests. Where processing relies on consent, you can withdraw that consent without affecting earlier lawful processing.

9. Information needed to respond

You choose whether to contact us. The fields marked as required are needed to respond and assess the move; without them we may be unable to prepare a useful quote. This website does not make automated booking or pricing decisions with legal or similarly significant effects.
